Overview

We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide high-level administrative and operational support to the Market Manager of Wealth Management and the Relationship Managers. This position includes dual responsibilities approximately 75% of the time will be dedicated to executive-level support, while the remaining 25% will support the Private Banking team with compliance, KYC, and client documentation in a non-revenue generating capacity. The Executive Assistant provides the core support that facilitates the working of the business area to which they are aligned. The Executive Assistant’s tasks ensure the day-to-day smooth running of the business area, such as scanning / photocopying, filing / archiving, sorting mail, maintaining adequate office supplies, instructing couriers, and arranging a variety of deliveries and standard office documentation tasks (e.g., copy typing). Executive Assistants will be in contact with other Administration Profession members and areas of the Bank that support their business area.

What You’ll Do

  • Executive Assistant Duties - Manage the Market Manager’s calendar, schedule appointments, coordinate internal/external meetings, and prepare meeting materials; organize internal communications, reports, and presentations on behalf of the Market Manager; coordinate regional team events, leadership offsites and town halls; arrange complex domestic and international travel and prepare related itineraries and expense reports; serve as a liaison between the Market Manager and internal/ external stakeholders, ensuring timely follow-ups and clear communication; responsible for team activity coordination such as managing mail, organizing client meetings, handling travel and expenses, ordering lunch, performing administrative tasks sch as photocopying, scanning, archiving, and maintaining office supplies
  • Banker Support Functions - Assist bankers with onboarding of new clients by collecting and verifying all required KYC (Know your client) and AML (Anti Money Laundering) documentation; ensure client records are accurate, complete, and compliant with Deutsche Bank’s internal policies and applicable regulations; maintain client files and regularly review documentation to ensure up-to-date compliance; liaise with risk, compliance, and operations teams to address and resolve documentation issues or red flags; coordinate periodic client reviews and ensure timely submission of materials for internal audits or regulatory reviews; monitor workflow queues and track case progress to meet internal deadlines and service level agreements

Expectations

It is the Bank’s expectation that employees hired into this role will work in the San Francisco, CA office in accordance with the Bank’s hybrid working model.

The salary range for this position in California is $65K to $100K. Actual salaries may be based on a number of factors including, but not limited to, a candidate’s skill set, experience, education, work location and other qualifications. Posted salary ranges do not include incentive compensation or any other type of remuneration.
